Data Retention & Deletion Policy
How long [Company legal name] keeps data in Loadara and how it is deleted.
1. Principle
We keep personal information only as long as needed to provide the service, meet legal and tax obligations, resolve disputes, and enforce our agreements. When a retention period ends, data is deleted or de-identified.
2. Retention windows
- Active account data: retained for the life of the account.
- After account closure: retained for [X] before purge, unless a longer period is legally required.
- Driver documents (CDL, insurance): retained for [X] or as directed by the owning organization.
- Billing and transaction records: retained for [X] to meet financial and tax requirements.
- Operational logs: retained for [X] for security and troubleshooting.
3. Soft delete and purge
Deletions typically follow a two-step process: records are first soft-deleted (removed from normal use and hidden from the application) and then permanently purged from primary systems after [X]. Backups are rotated on their own schedule and expire within [X].
4. Document storage
Uploaded documents are stored in private storage buckets. When the associated record is purged, its documents are removed from storage as part of the same process.
5. Account deletion and export requests
Organization administrators may request deletion or a copy (export) of their organization's data by contacting [privacy contact email]. We verify the request, confirm scope, and process it within the timeframe required by applicable law. Individuals whose data is managed by a customer should direct requests to that customer, and we will assist as their service provider.
